Receive and respond to an application

How the inbox works, what the statuses mean, and how to follow up by email.

When a buyer fills out your /application, the submission lands in your Applications inbox (/admin/applications in your admin) and you get an email. This walkthrough covers what to do next.

The inbox

The inbox is sorted by status, then most recent first. The four statuses are:

  • New — fresh submissions. The red dot on the Applications nav item counts these.
  • Approved — your shortlist / committed buyers.
  • Waitlisted — interested, no kitten right now.
  • Declined — politely passed.

Status filters at the top let you focus on one bucket at a time. Name search filters within the current status.

Marking a New application Approved, Waitlisted, or Declined clears the red-dot count on the Dashboard. You can move freely between statuses — nothing is sent automatically when you change them.

Reading an application

Click any row to open the detail page. You'll see:

  • Applicant contact — name, email, phone, address
  • Their situation — household type, other pets, kids, prior cat experience
  • Their interest — color and sex preference, free-text notes
  • Interested kitten — if they applied from a specific kitten page, the kitten's name + thumbnail show here
  • Internal notes — your private notepad. The applicant never sees it.

Replying

There's no "send email from Densites" feature in MVP — keeping it boring on purpose. Instead:

  1. Set a status

    Use the status dropdown at the top right of the detail page. Pick Approved / Waitlisted / Declined. Saved on click.

  2. Email them

    Click Email applicant — it opens your email client with the applicant's address in the To field. Write your reply there. Densites doesn't track or store the email — that's between you and them.

  3. Note what happened

    Drop a quick line in Internal notes so future-you remembers ("Sent deposit details 5/12"). Notes save inline.

When the form doesn't fit

The application form fields are fixed in MVP. If a buyer doesn't see a field you want answered, ask in your reply — and let us know at [email protected]. We pick which fields become standard based on what breeders ask for.

Rate limiting + spam

We rate-limit the public form (8 submissions per hour per IP), and Cloudflare Turnstile is enabled if you've configured a site key. Even so — if you ever see something that looks like spam, you can mark it Declined and it drops out of your New bucket.
